BidWire Terms of Service
Effective: 2 October 2026 · Version 1.0
These are the terms for using BidWire. Please read them before you pay. They are short on purpose. If anything is unclear, email hello@bidwire.brainwaveafricatech.com and we will explain it in plain words.
1. Who you are dealing with
BidWire is a product of BrainWave AfricaTech Limited, a company registered in Ghana (registration number CS096710624), with its office at 335 Place, Off N1 Highway, Accra, Ghana. In these terms "BidWire", "we", "us" and "our" all mean BrainWave AfricaTech Limited.
You can reach us at hello@bidwire.brainwaveafricatech.com, on +233 (0) 25 745 4762, or by replying to any BidWire email. Our website is www.brainwaveafricatech.com/bidwire.
BidWire is a private service. We are not part of, endorsed by, connected to, or acting for the Public Procurement Authority, GHANEPS, the World Bank, or any government body or buyer. We read public tender notices and tell you about the ones that fit you. We do not run tenders, we do not award contracts, we do not submit bids for you, and we never ask you to pay us to bid.
2. What BidWire does
When you subscribe, we:
- Watch public tender sources (Ghana's GHANEPS portal, the World Bank's procurement notices, and others we add over time).
- Score each new notice against the profile you give us and email you an alert for the ones that fit, with a short list of what you would need in place to bid (registrations, tax and SSNIT clearance, tender security, fees, and any capability gaps).
- Send you a monthly readiness report.
- Act on your one-word replies (BID, DONE, NO, STOP) to track your bids and tune your alerts.
Your plan sets how many people at your firm receive alerts and what else is included. The current plans and prices are in section 6 and on our website.
3. What BidWire does not promise
Be clear on this before you pay.
- We do not promise you will win anything. Most bids lose, everywhere. BidWire helps you find tenders you are eligible for and avoid losing on paperwork. The bid, and its result, are yours.
- We do not promise to catch every tender. We watch the sources listed above. A notice can be posted late, posted somewhere we do not watch, worded so that our matching misses it, or taken down. Our aim is that you never miss a tender you are eligible for. It is an aim, not a guarantee.
- Alerts are summaries, written with AI. Our matching, scores and gap notes are generated by an AI model from the public notice and your profile. They can be wrong, out of date, or miss a requirement. Always read the official tender document before you spend money or submit a bid. The official notice wins over anything we say.
- We check and send alerts through the day, not at a promised time. There is no guaranteed delivery time, no guaranteed uptime and no service credits. If something breaks we tell you and fix it.
- We are not your lawyer, accountant or bid writer. Readiness notes are general information, not professional advice on any particular tender. Registrations and clearances are yours to obtain; we tell you which ones are missing.
4. Your account and your profile
- Give us accurate details about your firm and keep them current. Our matching is only as good as your profile.
- You confirm you are allowed to act for the firm you sign up.
- Keep your email and WhatsApp secure. Anything sent from them is treated as coming from you.
- On SME plans, alerts cover one category and go to one email address. More categories or addresses are available as paid add-ons.
- On Growth and Enterprise plans, seats are for named people at your firm. You can move a seat to another person by emailing hello@bidwire.brainwaveafricatech.com. A shared mailbox (for example tenders@yourfirm.com) counts as one seat.
- Do not share alerts outside your firm, resell them, scrape them, or use BidWire to build a competing service.
5. Using BidWire responsibly
You agree not to:
- Use BidWire to break the law, or to bid in a name you are not entitled to use.
- Send us documents you do not have the right to share.
- Try to access other clients' data, or overload or interfere with the service.
- Use our name, seal or content to suggest we endorse your bid or that you are connected to any public body.
If you do any of these, we can suspend or end your account without a refund.
6. Plans, prices and paying
All prices are in Ghana cedis and include VAT, NHIL and the GETFund levy. The price you see is the amount that leaves your account. Where we issue an invoice, it shows the tax lines separately.

- SME plans are paid by card through Paystack and renew automatically at the start of each month, quarter or year until you cancel. Paystack emails you before each charge.
- Corporate plans are invoiced and paid by bank transfer. Invoices are due within 14 days.
- The Masterclass and the setup fee are one-time payments.
- Renewal, cancellation and refunds are governed by the BidWire Cancellation, Renewal and Refund Policy, which is part of these terms.
- If a card payment fails, we tell you the same day and alerts continue for 7 days while you fix it. After that, alerts pause until you pay.
- If Ghanaian law requires you to withhold tax from a payment to us, you may do so provided you give us the withholding tax certificate. The amount on the certificate counts as paid.
- We can change prices. We will email you at least 30 days before a price change takes effect. The new price applies from your first renewal after that date. If you do not want to pay it, cancel before that renewal.
7. Founder pricing
If you joined at the founder rate, you agree to give us a short reference within 90 days of your first alert: a quote we can publish, a short call with a prospective client, or permission to name your firm as a client. Choose whichever you prefer. The founder rate stays yours for as long as you remain subscribed without a break. If you cancel and later come back, the standard rate applies.
8. Your documents and your data
This is the part people worry about. Here is our commitment.
- Documents and details you give us (company profile, certificates, past contracts, staff lists, readiness answers) are used only to run BidWire for you: to match tenders, write your readiness notes and reports, and help you get bid-ready.
- We never use your data to train any AI model. Not ours, not our AI provider's, not anyone's. Our AI provider's commercial terms say the same about data processed for us.
- We do not sell, rent or share your data with anyone except the service providers we need to run BidWire. They are listed in our Privacy Notice, and each is bound by a written agreement to protect your data.
- Our staff see your documents only to serve you, and are bound by confidentiality.
- You can ask us at any time to send you what we hold, correct it, or delete it. We keep your profile and documents for 12 months after your last paid period, so you can come back without starting again, then delete them. Ask, and we delete sooner.
- If we ever suffer a security incident affecting your data, we will tell you promptly and say what we are doing about it.
The full detail is in the BidWire Privacy Notice.
9. Who owns what
- You own your documents and your profile. You give us permission to use them to provide the service.
- We own BidWire: the software, the matching, the alert format, the reports, the Masterclass materials, and the BidWire name and mark. You may use alerts and reports inside your firm for your own bids. You may not republish or resell them.
- Public tender information belongs to the bodies that publish it. We summarise it and point you to the source.
10. If something goes wrong
- If we miss a tender, send a wrong alert, or get a readiness note wrong, tell us. We will fix the profile or the matching, and if the fault was ours we will refund the current period's fee. That is the most we can offer.
- Our total liability to you for anything to do with BidWire is limited to the fees you paid us in the three months before the claim.
- We are not liable for lost bids, lost contracts, lost profits, missed deadlines, tender fees, bid security, or any indirect loss, however it arises.
- Nothing in these terms limits liability for fraud, or for anything the law does not allow us to limit.
11. Ending the service
- You can cancel at any time by emailing hello@bidwire.brainwaveafricatech.com or using the "Manage subscription" link in any Paystack email. Cancellation takes effect at the end of the period you have paid for. The refund policy says what happens to what you have paid.
- We can end your account on 30 days' notice, refunding any unused prepaid time pro rata. We can end it immediately, without refund, if you break section 5 or do not pay.
- If we stop offering BidWire altogether, we will give you 60 days' notice and refund unused prepaid time.
- When the account ends, alerts stop. Your data is kept and deleted on the timeline in section 8.
12. Changes to these terms
We can update these terms. We will email you about any change that matters at least 14 days before it takes effect. If you keep using BidWire after that date, the new terms apply. If you do not agree, cancel before that date and we refund any unused prepaid time.
13. Law and disputes
- These terms are governed by the laws of the Republic of Ghana.
- If there is a dispute, we talk first. Either side emails the other, and we have 30 days to sort it out in good faith.
- If that fails, either side may refer the dispute to mediation in Accra under the Alternative Dispute Resolution Act, 2010 (Act 798).
- If mediation does not settle it, the courts of Ghana, sitting in Accra, have jurisdiction.
14. Small print, kept small
- These terms, the Cancellation, Renewal and Refund Policy, and the Privacy Notice are the whole agreement between us for BidWire.
- If a court says one part is unenforceable, the rest still applies.
- We can transfer this agreement to another company in the BrainWave group or to a buyer of BidWire; we will tell you if we do. You need our written consent to transfer yours.
- Notices to you go to the email on your account. Notices to us go to hello@bidwire.brainwaveafricatech.com.
